Perth based signmakers Go Graphics came to Business Sense to both make the changeover from WorkflowMax and re-work their operational processes.  

The company, which has about 20 staff specialises in signage for the greater Perth area. They have three distinct teams across Sales, Design and Production/Installation that need to cohesively coordinate projects.

Go Graphics takes a proactive approach to growing leads and sales, as well as delivering exceptional service to their clients. The software changeover provided the perfect opportunity to go paperless across their sales process, rework their quoting process to reduce double handling of data, provide insights into forecast and actuals at overall and granular project detail, introduce purchase delegations and approvals that integrate with accounting functions and improve key processes to have visibility over accurate job costing for future decision making

Due to the interdisciplinary nature of the business, it is important for them to carefully monitor the amount of time spent on each stage of the project and nail down the progress and profit along the way.

The company engaged Heidi Seal to consult on the rework of their end to end processes, as well as complete the migration and training from WorkflowMax to WorkGuru.

Maximising the WorkflowMax Changeover Opportunity

Go Graphics took a strategic approach to the WorkflowMax changeover. They opted for WorkGuru, which gave them additional functionality they were missing - both from a process and reporting perspective. They also decided to streamline many of their processes that required paperwork, double handling and excess email communications. Additionally they were able to reset on some important costing processes, which now allow total visibility over project profitably - which is also able to be sliced and diced by salesperson and revenue stream. Having greater insight into quote margins, lead pipeline and revenue forecasting has also made a huge difference in having insight into the business health.

  • Accurate real time visibility of project profit, forecast vs estimate and WIP in real time

  • Setup Purchase Order process with delegated approvals and limits

  • Communicating with leads and clients direct from WorkGuru - giving visible activity for management 

  • Integrated project checklists, health and safety and production sign offs directly as forms into WorkGuru

  • Enabled ease of use for mobile workforce to add start / stop time with ease when out in the field

  • Gained richness of reporting from dashboard and granular perspective - they now have a “source of truth” of all metrics across their operations

  • Have additional functionality available for future use when they are ready to adopt - including staff scheduling, kiosk access, tracked stock management, production jobs and built asset tracking and management
